We are currently seeking a Billing Specialist to join our growing team!

Position Overview:

Performs all billing functions to achieve timely and accurate invoicing to clients working with NRC personnel and vendors for proper documentation and final billing product. This position supports NRC’s Client Services billing requirements and performs all related functions to assist with the collection of outstanding invoice balances. This includes but is not limited to contacting customers regarding invoice requirements and providing revised invoices for prompt remittance processing. Monitors, reviews and generates invoices via NRC’s database invoice queues, as well as, the operations project billing case log. Adheres to the policies and procedures set forth within the departmental guidelines.

Essential Duties and Responsibilities:

  • Daily communication both written and verbal with NRC clients.

  • Responsibilities include receiving daily emails and phone calls from customers regarding invoices which require returning correspondence to customers with updated invoices and invoice explanations when needed.

  • Generate invoices for NRC’s service lines including but not limited to; Retainer Billing, Additional Billing (Vessel Tanker Combined, Tanker Voyage and Non-Tank Vessel), Washington State Plan, Alaska APC, California Shoreline Protection Coverage (CASP), Hawaii, AMPD, Argentina, Uruguay, etc.

  • Migrates all invoices from the Client Manager Database to Oracle on a monthly basis.

  • Responsible for maintaining and updating client account records in the Oracle and Client Manager Databases.

  • Creates Projects in the Oracle Projects Moring proper revenue and costing treatment for all Project and other Miscellaneous billing items.

  • Generates invoices through the Oracle projects module. Gets Project Manager approval on all invoicing before sending to client.

  • Prepares project accounting revenue to cost analysis and reports to Manager for forecasting.

  • Provide Unbilled Status reports to Manager for forecasting.

  • Ensure compliance with internal control guidelines, accounting processes and ethical business concerns.

  • Manages multiple tasks as assigned by supervisor.

  • Assists Project Managers and other assigned project management staff with contract reporting requirements in support of client requests.

  • Assists with invoice collection efforts when needed.

  • Assists in ensuring proper Procurement practices are adhered to.

  • Performs most duties 60%-75% independently.

  • Performs other administrative and ad hoc support tasks as required.

Minimum Qualifications and Experience:

  • A two year Associate Degree in Accounting or Finance or equivalent work experience required.

  • A minimum of two years of accounting experience or prior billing experience required.

  • Excellent communication skills are required in order to work effectively with all vendors and operations personnel

  • Proficiency in Excel and Word required.

  • Experience with Oracle’s Projects module strongly preferred.

  • Ability to travel up to 20% domestically as well as ability to be deployed for significant periods of time during spill response events required.
